These terms keep rentals smooth and predictable. By requesting service, approving a quote, or paying an invoice, you agree to the policies below.

Rental Terms
Booking & Payment
Payment is required to confirm a reservation. Dates are not held until payment is received and processed.
- Invoices are payable by card or approved payment methods.
- Client agrees to pay rental fees, delivery/setup fees, and approved add-ons (touchscreen, double-sided builds, extra units, etc.).
Scheduling & Minimum Notice
We recommend at least 3 days advance notice. Last-minute requests are subject to availability and may require a rush fee.
- Client must provide accurate event date, access windows, and venue details.
- Changes may affect availability and pricing.
Delivery, Setup & Access
Client must provide clear access to the venue at scheduled times (parking/loading access, elevators if needed).
- Delays caused by venue restrictions, access issues, or client scheduling may result in waiting time fees.
- Client provides required power outlets and a safe placement location. Internet is optional unless content requires it.
Equipment Responsibility
All equipment remains the property of Vizual Digital Displays. Client is responsible from setup through pickup/teardown.
- Do not move, modify, or reposition equipment unless authorized by Vizual staff.
- Client agrees to supervise equipment and prevent unauthorized handling.
Damage, Loss & Theft
Any damage, theft, or loss during the rental period will be billed to the client at repair or replacement cost.
- Replacement cost may include hardware, labor, diagnostics, shipping, and downtime.
- Examples: cracked screens, liquid exposure, impact damage, tip-over incidents, cable/power damage, tampering.
Prohibited Use & Safety
To protect equipment and guests, the following rules apply:
- No liquids near displays. Keep drinks at a safe distance.
- No adhesives, tape, stickers, or physical modifications.
- Outdoor use requires prior approval; weather/wind/heat exposure may be denied or require additional protection.
Client Content & Acceptable Use
Client is responsible for all content displayed and confirms rights/permission to use it.
- We may refuse content that is illegal, hateful, or violates venue rules.
- If files are unsupported or cause delays, additional support time may be billed.
Cancellations & Rescheduling
Cancellations within 48 hours of the scheduled event may be subject to a cancellation fee.
- Rescheduling is subject to availability and may require updated pricing.
- Last-minute equipment changes may not be possible.
Limitations of Liability
To the maximum extent permitted by law:
- Vizual is not liable for indirect or consequential damages (lost revenue, missed exposure, etc.).
- Any liability is limited to the amount paid for the rental period in question.
- Client agrees to indemnify and hold Vizual harmless for claims arising from client content, venue conditions, or guest misuse.
Condition Checks & Documentation
We may photograph equipment at delivery and pickup to document condition. Photos may be used to verify condition in the event of a dispute.
Note: This page is a practical summary for rental operations. For high-value corporate clients or large-scale events, we may require a separate signed rental agreement.
